The American Racket Sports Association ("ARA," "we," "us," or "our") operates the ARA Agency Platform ("Geovanna"), an SMS-based intelligence and vendor referral service for racket sports professionals. This Privacy Policy explains how we collect, use, and protect your information when you use our service, including our SMS/text messaging program.

2. Information We Collect

We collect the following types of information:

• Contact Information: Your name, phone number, and email address provided during registration.
• Facility Information: Details about your facility including court count, sports offered, and location.
• Message Content: The content of SMS messages you send to and receive from Geovanna.
• Usage Data: Records of your interactions with the platform including RFP requests, vendor matches, and service inquiries.
• Membership Data: Your ARA membership status and tier verified through our membership records.

3. How We Use Your Information

We use your information to:

• Verify your ARA membership and identity
• Deliver the Geovanna SMS-based intelligence service
• Match you with relevant vendors and service providers
• Respond to your requests for quotes, research, and referrals
• Send service-related notifications and updates
• Improve the platform and our services

4. SMS/Text Messaging Program

Members who opt in to SMS messaging during registration will receive messages from the ARA. SMS enrollment is optional and is not required for ARA Agency Platform membership. These messages may include:

• Onboarding and welcome messages
• Responses to your requests and inquiries
• Vendor match notifications and RFP updates
• Service updates and platform announcements

Agency Cohort Platform SMS Program. In addition to the ARA Agency Platform (Geovanna) described above, the ARA separately operates the Agency Cohort Platform, an SMS-based scheduling service for Agency Cohort members that sends weekly session reminders and collects RSVP confirmations by text. Enrollment is limited to invited Agency Cohort members and follows the same consent, opt-out (STOP), help (HELP), and data-handling terms described in this policy. This is a distinct messaging program from the ARA Agency Platform.

5. SMS Opt-In Data — Our Commitment

Personal information and SMS opt-in data collected for text messaging — for both the ARA Agency Platform and the Agency Cohort Platform — will not be shared, sold, or rented to third parties or affiliates for marketing or promotional purposes under any circumstances. This includes your mobile phone number, consent records, and any data collected during the SMS opt-in process. Your SMS opt-in information is used solely to deliver these services to you and is never shared for marketing purposes. Section 6 below describes the limited, non-marketing operational sharing (such as a vendor referral you explicitly request) that may still apply.

6. Information Sharing

None of the sharing described below is for marketing or promotional purposes, and none of it involves selling or renting your SMS opt-in data. We do not sell your personal information. Limited information may be shared only as follows:

• Vendors: Limited contact and facility information shared with vendors only when you request an RFP or referral, and only with your explicit consent through the request process. This sharing is for service delivery purposes only, not for marketing.
• ARA Staff: Internal staff who administer the platform and manage member relationships.
• Service Providers: Third-party technology providers (including Twilio for SMS delivery) who assist in operating the platform under strict confidentiality agreements. These providers are prohibited from using your information for their own marketing purposes.
• Legal Requirements: When required by law, court order, or governmental authority.

7. Data Security

We implement industry-standard security measures to protect your information including encrypted data transmission, secure storage, and access controls. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

8. Data Retention

We retain your information for as long as your membership is active and for a reasonable period thereafter. You may request deletion of your data by contacting us at the address below. SMS opt-in records are retained as required for compliance with telecommunications regulations.

9. Your Rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information
• Opt out of SMS communications at any time by replying STOP
• Contact us with questions or concerns about your data

10. Children's Privacy

The ARA Agency Platform is intended for professional use by adults 18 years of age or older. We do not knowingly collect information from children under 13.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify active members of material changes via SMS or email. Continued use of the service after changes constitutes acceptance of the updated policy.
